About the Opportunity

Reporting to the Director of Finance, Polaris is seeking an Accountant who will assist with various aspects of the preparation and production of accounting and financial reports, as well as other operations related duties and/or responsibilities.

Grant Management

  • Track restricted funds and ensure compliance with grant terms;

  • Works closely with Development to maintain complete and accurate grant files;

  • Assist Program Managers in the financial reporting and other administrative requirements of their grants/contract;

  • Prepare grant reports and financial analysis for internal stakeholders;

  • Prepare financial reports for submission to funding sources; and

  • Performs grant drawdown function from funding agencies.


Payroll Operations

  • Process payroll for all employees;

  • Oversee employee time keeping, PTO and other leave benefits;

  • Assist with onboarding and offboarding of employees; and

  • Other duties as assigned.


Accounts Receivable

  • Manage all accounts receivable for Polaris;

  • Record checks to be deposited for organization per the cash receipts log.

  • In collaboration with the Director of Finance, ensures accuracy, completeness, and compliance with standard accounting and audit procedures;

  • Communicate regularly with development to ensure accounting records are reconciled with development records; and

  • Prepare monthly bank reconciliations and journal entries for approval by the Director of Finance.


Accounts Payable

  • Manage all accounts payable for Polaris;

  • Responsible for overseeing and coordinating the processing of invoices for payment;

  • Reconcile organizational invoices and compile and review backup documentation for all expenses on invoices;

  • Prepare and disseminate annual 1099 forms;

  • Train program staff on proper coding of expenditures and ensure proper coding of expenses; and

  • Oversees timely and accurate submission and processing of invoices in Concur, ensure proper approval flow.


Financial Reporting

  • Participate in the preparation of monthly and annual financial reports and budget preparation both for programmatic and operational activities;

  • Work in collaboration with the Director of Finance and Administration to ensure proper financial controls and segregation of duties are in place and well-documented as defined in the organization’s policies and procedures;

  • Submit required financial data to Program Directors, Director of Finance, COO and CEO as needed; and

  • Assist with year-end audit process preparation of all reconciliations and audit work.


Required Qualifications

  • Minimum two years of accounting/financial management experience;

  • Experience processing payroll;

  • Proficient knowledge of Excel and accounting systems; and

  • Knowledge of effective financial and internal controls.


Preferred Qualifications

  • Experience working in a not for profit environment;

  • Experience with Abila MIP;

  • Experience with Concur; and

  • Experience with ADP.
